Clinics & healthcare

AI and automation for Manitoba clinics, built around PHIA

We set up the AI receptionist for dental clinics in Canada that front desks actually trust, along with intake, reminder and billing automation for physiotherapy, chiropractic, massage and allied-health clinics. Everything is designed around Manitoba's Personal Health Information Act (PHIA) and the practice-management software you already use.

Front desks are the bottleneck

Clinic phones ring hardest when the front desk is busiest: first thing in the morning, at lunch, and at checkout. Patients who can't get through book elsewhere, and cancellations go unfilled because nobody had time to work the waitlist.

Meanwhile your team re-types intake forms, chases insurance details and sends reminders by hand. None of that needs clinical judgement, and all of it can be automated with care.

What we build

What we automate for clinics

01

AI receptionist

Answers every call, handles common questions, texts patients your online booking link, and routes anything clinical to staff. Where your system allows it, it books directly. See AI receptionists.

02

Missed-call follow-up

Patients who couldn't get through get a text within seconds with your booking link, so they book with you instead of the next clinic.

03

Digital intake

Intake set up in your practice software's own forms, so patients complete them before the visit and nobody re-types them.

04

Reminders & recalls

Recall and re-booking campaigns for hygiene, treatment plans and follow-ups.

05

Billing & bookkeeping

Your practice software's sales exports turned into clean entries in QuickBooks or Xero, and reconciliation reports.

06

Clinic dashboards

Utilisation, no-show rate and revenue per practitioner in one place.

Working with Jane App and other practice software

  • Jane App
  • Google Workspace
  • Microsoft 365
  • QuickBooks Online
  • Xero

Practice-management systems differ a lot in what they allow. Jane App, used by many Canadian allied-health clinics, has no public API and doesn't allow outside tools to book into its calendar. So for Jane clinics we automate around it: the AI receptionist sends patients your Jane online booking link, and we use Jane's own reminders, intake forms and exports rather than workarounds that put patient data at risk. Read more in our Jane App integrations guide. For other systems, we confirm what's possible on the audit call before promising anything.

PHIA, PIPEDA and AI in a Manitoba clinic

Under PHIA, your clinic is a "trustee" of personal health information and stays responsible for it when a vendor processes it for you. That means knowing where call recordings, transcripts and intake data are stored, who can access them, and whether a vendor uses them to train AI models.

We review every platform against those questions before recommending it, keep clinical decisions with people, and document the setup so you can answer patients and regulators. Our AI and privacy guide covers this in more detail. It isn't legal advice, and we're happy to work alongside your privacy officer.

How it works

Four steps, no surprises

  1. 01

    Audit

A free 45-minute call. We map the process, count the hours and tell you whether it's worth automating.

  2. 02

    Scope & quote

A written, fixed-price scope: what gets built, what it connects to, and how we'll measure it.

  3. 03

    Build & test

We build in your accounts, test with your real data, and run it alongside the old way until you trust it.

  4. 04

    Handover & support

FAQ

Questions we get asked

Can an AI receptionist give medical advice?

No, and ours are configured not to. They handle booking, logistics and general clinic questions, and send anything clinical to staff.

Is patient data stored in Canada?

It depends on the platform. Some offer Canadian data residency and some don't. We check this for every vendor and document it for you.

Does it work with Jane App?

Around it, yes. Jane has no public API and doesn't allow outside tools to book into its calendar, so our AI receptionist answers the call and texts the patient your Jane online booking link. We also make full use of Jane's own reminders, intake forms and exports.

What types of clinics do you work with?

Dental, physiotherapy, chiropractic, massage therapy, optometry, and mental-health and other allied-health practices.
